Child Safeguarding:
Level 3 - The responsibilities of the post may require the post holder to have regular contact with or access to children or young people.
ROLE PURPOSE:
The position holder is responsible for fostering strong relationships between governmental and non-governmental organizations by ensuring effective communication, timely information sharing, and proactive feedback collection. This role plays a vital part in facilitating partnerships, promoting collaboration, and ensuring compliance with national regulations.
SCOPE OF ROLE:
- Reports to: Head of Administration

KEY RESPONSIBILITIES:
Office Registration:
- Ensure Save the Children office registration and renewal with government bodies.
- Ensure the organization's property/s has renewed documents and follow up on its renewal.
- Ensure adherence to national regulations affecting Save the Children's operations, including registration.
Customs Formalities:
- Liaise with government offices and embassies to clear imported goods.
- Assist the relevant departments with customs clearance.
Duty-Free Status:
- Obtain duty-free status letters and clear consignments and expatriate personal effects.
- Provide support for departments on customs clearance.
- Process media permits and shooting permits for journalists.
Staff Permits:
- Process international staff permits, including work permits, residence permits, driving licenses, and document authentication.
- Handle passport and visa processing for staff on official business.
Government Relations:
- Arrange high-level meetings with government officials.
- Manage various issues related to government offices by adhering to the rules and procedures of the government.
Dispatch and Payment Settlement:
- Distribute letters, project proposals, and different documents for governmental and non-government organizations.
- Settle the organization's utility payment as per the specified schedule.
Reporting:
- Establish a reporting framework between sub-offices and the country office, providing regular updates.
- Prepare weekly, monthly, and annual reports.

QUALIFICATIONS AND EXPERIENCE:
- BA in Management / Communication / Marketing or other related fields with relevant experiences.
- At least 3 years of experience working in a similar position.
- Experience working with NGOs/the UN sector.
- Multi-task oriented, excellent communication skills, and problem-solving abilities.
- Ensure prompt information flow through a high level of communication, negotiation skills, and excellent listening ability.
- Ability to build and maintain relationships with diverse stakeholders.
- A driving license is required.
- Excellent written and spoken English.
- Commitment to and understanding of Save the Children’s aims, values, and principles.
- Proficiency in Microsoft Office applications.
